1Information We Collect
Account information: Name, email address, phone number (optional), and organisation details provided during registration.
Usage data: Pages and app screens visited, features used (for example which buttons are clicked), how long pages and actions take to load, errors, device type, browser, approximate location (from a shortened IP address — we never store the full address for analytics), and where a visit came from (for example a search engine or campaign link). We use it to find what is slow or confusing and to improve SyncGaze. It never includes the content of your emails, documents or forms, what you type, or what you search for.
Email content: Emails sent and received through SyncGaze Mail are stored on our servers to provide the email service. We do not read, scan, or analyse your email content for advertising.
Payment data: Billing information is processed by Razorpay. We do not store your full card or bank details on our servers.
2How We Use Your Information
- To provide, maintain, and improve the email hosting service.
- To process payments and manage your subscription.
- To send transactional emails (password resets, billing receipts, service alerts).
- To protect against fraud, abuse, and security threats.
- To comply with legal obligations.
We do not sell your personal data to third parties. We do not use your data for targeted advertising.
3Data Storage & Security
- Your data is stored on servers located in India.
- All data in transit is encrypted using TLS/SSL.
- Email authentication (DKIM, SPF, DMARC) is configured for every domain.
- Access to production systems is restricted to authorised personnel only.
- We conduct regular security reviews of our infrastructure.
4Data Sharing
We share data only in these circumstances:
- Service providers: Payment processing (Razorpay) and infrastructure hosting — only as necessary to provide the service.
- Legal requirements: When required by law, court order, or government regulation.
- Business transfers: In the event of a merger or acquisition, with prior notice to users.
5Your Rights (DPDP Act, 2023)
Under the Digital Personal Data Protection Act, 2023 and applicable laws, you have the right to:
- Access your personal data we hold.
- Correct inaccurate or incomplete data via account settings.
- Delete your account and all associated data.
- Withdraw consent for optional data processing.
- Data portability — export your emails, contacts, and calendar data.
- Nominate another person to exercise your rights in case of death or incapacity.

6Cookies
We use essential cookies for authentication and session management. No advertising cookies are used.
Analytics: our own first-party analytics (cookies sg_aid, sg_sid, sg_attr) and Google Analytics help us understand usage patterns. On our public pages (home, pricing, sign-up and help) we ask before setting analytics cookies; your answer is kept in sg_consent for a year. On those public pages, and only after you accept, we may also use Microsoft Clarity to see anonymised recordings and heatmaps of how the page is used — never inside your mailbox, documents, forms or dashboard.
Your choice: signed-in users can turn usage analytics off at any time in Account → Notifications ("Help improve SyncGaze") or in the mobile app under Mail settings. Analytics events are kept for up to 13 months and are deleted when you delete your account. Our analytics team works only with pseudonymised data — your name, email address and phone number are never included.
7Data Retention
We retain your data for as long as your account is active. After account deletion, all data (emails, contacts, calendars) is permanently removed within 30 days. Backups are purged within 90 days.
8Children's Privacy
Our services are not intended for users under 18 years of age. We do not knowingly collect data from children.
9Changes to This Policy
Material changes will be communicated via email at least 15 days before they take effect.
